Managing your event list

This article will step you through the core workflows required to quickly manage your events through to Promoted status - first, managing your event list.

Viewing and Searching Events

Outcome: Find specific events quickly in your event list

Steps:

  1. Access the Events Page

    • From any page, click "Events" in the top navigation

    • Your upcoming events display automatically (next 12 months)

  2. Search for Specific Events

    • Use the search box at the top of the event list

    • Search works across event names, descriptions, and venue names

  3. Understand Event Status Indicators

    • New: Event needs information

    • Draft: Event has information but isn't promoted yet

    • Promoted: Event is promoted and will be active in email campaigns

 

Event Operations

Outcome: Manage a single event from list view

Options:

  1. Delete Event
    • Click the Delete button to move the event to the Deleted Events page (don't worry, they are recoverable). This is useful if events appear here that are not promotable, such as non-performance related entities.
    • Click the View button to view all the event information in a pop-up
    • Check the Promote Event box to set event status to 'Promoted'.
      • Only events in 'Draft' status can promoted, you cannot set an event in 'New' status to promoted.
      • If your event has missing information it cannot be promoted.
    • Click Edit Event to go to the edit page

 

Bulk Event Operations

Outcome: Efficiently manage multiple events at once from list view

Steps:

  1. Select Multiple Events

    • Check the box next to each event you want to modify, you will see the multi-event selection bar appear. Tip: You can select up to 50 events at once.

  2. Select your action

    • Promote Events: Makes selected events available for email campaigns

    • Make Draft: Removes events from active promotion

    • Delete Events: Moves events to the deleted list (they appear in the Deleted Events page and are recoverable)

    • Review the confirmation messages

 

Important: Promoted events will immediately be available for email campaign

⚠️ Events must have complete data fields to be promoted. If some events you are editing can't be promoted because they are missing data, you'll see a list. Edit those events individually to complete the missing fields.
