🔶 Contextual Data

The contextual data populates columns the first columns of the file. Here you will find the values taken directly from your CRM. These values will not change when you apply new coded values.

In this section you will find

Event Name The name of the event.
Start Date The date of the first performance in the run.
End Date The date of the last performance in the run.
Tickets The total number of tickets sold for the Event
Revenue The total revenue for the Event
Capacity The maximum number of seats that it is possible to sell for this Event. For a seated venue, this will reference the number of seats within your venue, plus any Lap Seats or General Admission areas.

🔶 Changeable Data

The Changeable Data contains both current and updatable coding cells, and populates the final columns of the file. The 'Current Value' columns contain the current coding values - these may have been populated automatically by the system, taken directly from you data or created manually by a user.


🗝️Key Field | On Sale Date

This field populates automatically based on the early transaction dates in your system. Coded values will appear in the single ticket tracker.

🔹"Is Tour"

This field can be manually applied to indicate whether the performance was a tour or not. 

🔹Genre

This field can be manually applied to indicate the event's genre. 

🗝️Key Field | "Is Core Program"

This field populates automatically with the values contained within your system. Coded values will appear in the Event tool. 

A core event is any event in your main season and should exclude auxiliary items such as parking, dinners, backstage tours, etc. 

While the system recognizes some common non-core events like parking, it may not identify organization-specific events such as "Beer and Ballet." When coding, one should double-check and correct anything coded by the system (yellow cells) in this column. 

🗝️Key Field | Season Year

This field populates automatically with the values contained within your system. Coded values will appear in the Event tool. 

Where a season year isn't available within your data, the system bases your season year off of a standard fiscal year. To ensure events are being included in your organization's fiscal year, be sure to thoroughly double-check this column. 

🔹Venue Name

This field populates automatically with the values contained within your system. Coded values will appear in the Event tool. 

🗝️Key FieldEvent Name 

This field populates automatically with the values contained within your system. Coded values will appear in the Event tool. 

You can use this field to standardize any placeholder event names like "Show 1" or to remove any season references like "21-22 Coppelia"
