Data Coding Files

A quick guide to understanding the Excel data coding files

Accessing Data Coding files

The majority of Data Coding files can be generated by navigating to the Manage Data Coding section of Data Center and clicking the 'Generate' button next to the data type you'd like to code.

The exception to this is Ticketing data, which must be generated via the Events table. Please read the How to complete Ticket Data Coding article to learn more about generating Ticket files.

After you have requested a file, it should automatically download. If it does not, or if something goes wrong, you can check on the status of your request and attempt to redownload in the History section at the bottom of the page.

Understanding the Data Coding file

Data Coding files are Excel (.xlsx) files that contain aggregations of your raw data, combined with the currently coded values and input columns for coding updates.

Each file will contain a Documentation page that will provide more information about the file's fields. 

Upon opening the file, you may need to select the 'Enable Editing' button at the top of the screen before you can begin to make changes.

Some fields and actions within the sheet are locked to prevent users from mistakenly altering crucial parts of the sheet that our system will use when applying your updates.

Contextual Fields

The first rows of each coding file contain raw, contextual data that has been extracted from your CRM. These are there to help you understand the data that you are coding are are not meant to be changed.

The number of columns dedicated to Contextual data will vary depending on the data type you are coding,

These fields are shaded light grey and are not editable.

Changeable Fields

Changeable Fields are where you'll find your current coded data and enter new values.

Each field consists of two columns side-by-side. The left field, labelled 'Current Value' displays the currently coded values, while the right column, labelled 'New Value' is where you'll enter your updated values. Both of these fields carry color indicators that apply via conditional formatting to help you understand the coding better.

 

Contextual Data - this cannot be changed

  Not currently coded - some fields can only be populated by user input. These will remain blank until coded.
  Automatically Coded (Unconfirmed) - this value has been assigned by our system based on trends across our data network
  Manually Changed - this value has been applied manually by a user and does not match a coded value
  Automatically Coded (Confirmed) - this value has been assigned by our system and a user has confirmed it as correct

 

Completing Data Coding

Adding or updating coded values is simple and quick to do. Select the corresponding 'New Value' cell and, depending on the field you are editing, either enter a value or select on from the drop down. A color will automatically apply to the cell to illustrate whether you are confirming an existing value or entering a new one.

Filters can be applied to any of the columns and values can be copied and pasted in to groups of cells to make bulk coding easier.

Sorting is not possible.

You can code as many or as few rows as you need - any empty cells in a 'New Value' column will be ignored.

Once you have completed your coding, make sure you save the file and do not change the file type.

Uploading Data Coding Files

When you are ready to upload a Data Coding file, return to the Data Coding page and click the 'Upload File' button in the section belonging to your file type.

Select the modified Data Coding file that you have been working on and confirm.

The system will import your file and process the changes you have made. Depending on the volume of changes, the time this takes may vary in length.

You can view the progress of your upload in the History section at the bottom of the page.
